The Budget of Language Camp


Salam and Hi everyone,
As you all know, I’m the treasurer for the language camp so here is the thing:
Since the proposal that is going to be submitted to the faculty does not contain any request of funding (money), we need to manage the issue on our own. As our vice director (Luk Jing) already suggested, we need to contribute with RM5 in order to cover the expenses of prizes. It is still undecided how many prizes we need (exactly) but I think we will try to keep it at only RM5 and it will be enough if we gave prizes to the winners only. So the members responsible for the souvenirs (prizes), please keep our budget in mind, which is maximum RM70.
However my suggestions are as follow,
First, I agree with Luk Jing that we need to give prizes for the winners but keep in mind that we will be having group activities. If we conducted group activities or games, do we need to reward all members of the group? As a consequence, we will reward three groups, which consist of 30 students because rewarding only one group at the end of the day seems frustrating for the students. 
Second, regardless of who won the games or the activities, I suggest that we give three special prizes for the three active students at the end of the day because this will keep them motivated all day even if they didn't win the activities.
If you have any suggestions, please share with us and also give your opinion

  1. 1. I think it's best to award the final winner or the best three winners. Since now there will be FIVE groups, I think it's OK to reward just ONE group out of five. That means we can have less spending on the prize. If we give everyone prizes, it won't be motivating enough for them. Let them compete against each other for the grand prize so that they will have the spirit and interest to put more effort in the games/activities.

    2. Could you explain more about "special prizes for three active students"? How do you decide the winners for this category?

  2. Hi Fatima, I would suggest you to come up with a budget (simple one) to let everyone know our financial status and especially their expenditure limit so that nobody will overspend (if they need money to buy materials, etc.).

    Right now what we have:
    - Five groups with 2-3 facis in each group.
    - Assume that we allocate RM50 for prize and RM20 for session materials, then probably every faci group will get RM4 only to spend. (RM4x5 = RM20)
    - If we allocate RM40 for prize, then RM30 for materials. Each group gets RM6.
    - So on...

  3. Oh, I've just been told that there will be a sketch aside from the games!

    Then maybe we can have one grand prize for games and another for the sketch competition.

  4. You are right. Since we will be having sketch competition, we can reward only one group for the games and another group for the sketching.
    By "special prizes for three active students" I mean that there are always active and passive students and this will be obvious during the camp because we will be having 10 students per group. Of course, many of them will not participate effectively, so we will give prizes to the three active students at the end of the camp. How they will be chosen? by the facis or the facis choose 1 active student from each group and then the students will vote for three of them regardless of their groups


    For the budget, I will estimate it and tell you later. However, for now we need sketching paper and A4 paper but I need to know if we need to buy manila cards.
    Definitely the students need to use their pens and pencils during the camp.

    Ok, what you people think about the the active students' prizes??

  5. I agree with Fatima's suggestion. These special prize can be as compliment for their active participation in the activities.

    Fatima, so do you have any ideas on giving what kind of special prize to them? Hamper again?
    Previously, me and Luk Jing think of to create hamper to the final winner. So, perhaps we can think of another type of prize to give them (if possible.

  7. Hi Fatima, I think we're not the only ones to decide on what prizes what we want to offer to the students. Perhaps we need to wait for Kuby and Bircan to join the discussion.

  8. I think we should talk about the gifts under our posts. Here, We can talk about the budget would be better. I woulk like to learn from you Fatima how much of the budget you seperate for the gifts? So , we can consider the budget and accorgind the target money, we can prepare the gifts or we can suggest based on the budget. I suggest that we can give grand prizes to 1 student fron each group and in order to motivate the rest of the students we can give small gifts to them. this could be home-made gifts or anything based on our creative.

  9. Su Ching, I have really no idea about which type of gifts but I hope Kubra and Bircan do because it is their part of the job.
    Kuby, this means that we will reward all of them which I don't think we can afford.
